Slack Notifications for Signed Contracts: A No-Code Zapier Setup with Firma.dev

Checking a dashboard every hour to see if a contract came back signed doesn't scale past a handful of documents a week. Someone still has to notice, then tell the rest of the team. If your business sends agreements regularly, that gap between "signed" and "someone actually knows it's signed" is where things get dropped.

This walkthrough covers closing that gap with Zapier: wiring Firma.dev to Slack so a message lands in the right channel automatically the moment a signing request is completed. No webhook code, no server to host, nobody polling an API on a schedule.

What you'll need

  • A Firma.dev account and an API key (grab one free, no credit card required)

  • A Zapier account (the free tier covers this Zap)

  • Permission to add apps to the Slack workspace you want notifications in

Step 1: Find the Zap template

Search Zapier for "Notify a Slack channel when a signing request is completed" instead of building the trigger and action from scratch. The template pre-wires Firma.dev as the trigger and Slack as the action, so the only work left is filling in your own credentials and message text.

Step 2: Connect your Firma.dev account

Firma.dev authenticates with an API key rather than an OAuth popup, so Zapier prompts you to paste one in. There are two kinds to choose from:

  • A global API key, scoped to your whole account, useful if one Zap should catch signing requests across every workspace you run.

  • A workspace-specific key, scoped to a single workspace, better when different teams or clients should only trigger notifications for their own agreements.

Both are available from your Firma.dev dashboard under API settings.

Step 3: Connect Slack and pick a channel

Authorize Zapier against your Slack workspace, then choose where the notification should land. A dedicated channel, something like #contracts-signed, keeps this out of general chatter once volume picks up.

Step 4: Customize the notification message

This step is worth a minute of attention. Firma.dev passes signing request variables into the Zap, so instead of a generic "a document was signed" message, you can build something closer to:

{{agreement_name}} was just signed by all parties.

Agreement name is the obvious variable to pull in, but signer email and workspace name are also available if your team wants more context visible in Slack without opening the dashboard.

Step 5: Test, then publish

Zapier lets you fire a test signing request through the Zap before it goes live. Use a real or test signing request in your account, confirm the message formats correctly in Slack... then flip the Zap from Draft to Published. Skipping the test is the most common way to publish a Zap that quietly fails on the first real contract.

Common gotchas

  • Wrong key scope. A workspace-specific key only catches requests from that one workspace. If the Zap is meant to cover several workspaces, use a global key instead.

  • Unpublished Zaps. A successful test doesn't publish the Zap. That's a seperate switch... easy to forget.

  • Channel permissions. If the Zapier app hasn't been invited to a private Slack channel, messages fail silently instead of throwing a visible error. Invite the app to the channel before testing.
